1. Introduction to the Digital Servicebook Platform:

Easily overview the features of Digital Servicebook.

1. Search – Search for cars, view information, campaigns, service records, etc. – and add services from here.
2. Workshops – Company information.
3. Customers – Add customers and see the customers/cars registered for your workshop.
4. Service Plan – Overview of all records of performed and upcoming services, etc.
5. OE Data – Access to OE factory data, retrieve service records, and search for campaigns.
6. Photo – (2 functions) Here, you can upload a photo of the old paper service book or attach a photo to a car based on a repair, e.g., worn-out brakes, leaky water pump, etc.
7. Profile – Here, you can change your profile, password, and manage your subscription, etc.
8. Support – This takes you to our support page, where you can view guides and contact us.
9. Log out
10. Language – Switch between languages.

2. Search for a Car

When searching for a car on Digital Servicebook, you can find information about the car in the “Info” menu.

Once a car is registered in Digital Servicebook, everyone can search directly for the car from the homepage and view its service history.

Available Car Data with Login

All service information in the car’s service book is accessible. You can find information about: car data, technical details, service records, etc.

Available Car Data without Login

Only information about the car’s mileage, type, and workshop will be available. This ensures accurate mileage information and prevents fraud.

3. Register Service

Create service registrations from a PC and app or via IT integration with a single button press.

When you want to register a service in the service book, there are 3 steps:

1. SERVICE PLAN – COMPLETED: What have you performed (Service, inspection, timing belt, or ??)
2. CUSTOMER: Add the customer’s mobile number to the car (So the system automatically sends an SMS about upcoming workshop visits to your customers)
3. SERVICE PLAN – UPCOMING: When should the car come to the workshop again (Next visit)

Register completed work

• Enter the license plate or VIN
• Press search
• Press add service

2. Fill out the Service Book

Now you are directly in the car’s service book and can fill it out. If the car was previously registered with upcoming service in the Digitalservicebog, it will be displayed here. You can easily update it from upcoming to completed.

1. Choose what you have performed: Service inspection, Inspection, Timing belt, Tire change, Rust control, Underbody treatment, Oil change, or Repair/Replacement, etc.
2. Enter the mileage
3. Select the date
4. Add a comment – preferably as detailed as possible.
5. *Add a file (- this is optional) – e.g., a service schedule, a photo of damage, or an invoice, etc.
6. If you have a subscription that includes OE search, this can be done directly from this page by pressing the OE service book search.
7. Add
8. The car’s service is now registered.

3. Finished

Here you can see all the cars you have created, with the last entered one displayed at the top.

1. Here, up to 48 hours after creation, you can modify, add, or delete all entries per line.

4. Add customer

Give the customer access to the car’s service documentation. This establishes a connection between the customer and the workshop, providing digital access to the car’s data, which is good customer service. The customer will be notified of upcoming services via SMS (if “upcoming” services are used).

You can easily grant the customer access to their data about their car’s service history.

See how easy it is with this guide:

1. Select “Customers” in the menu bar
2. Press “Add Customers”

1. Enter the customer’s mobile number (*remember the correct country)
2. Enter the customer’s license plate (*remember the correct country)
3. Add
4. Your customer will now receive an SMS to activate in the Digital Servicebook. (GDPR requirements)

1. Once the customer has activated, you will be able to see them in your “customer” list.
2. Pending = SMS has been sent
3. Activated = The customer is activated

5. Create Upcoming Service for Customers

You have the option to register an upcoming workshop visit – thereby retaining the customer. The customer simply needs to be created with an automated service reminder.

Automated Service Reminder

You have the option to register an upcoming workshop visit – thereby retaining the customer. Simply change the “status” and specify when the next KM/Date is.

Add upcoming service

1. Service type: service, inspection, timing belt, etc. is selected.
2. “Service status” is changed to UPCOMING.
3. Enter KM for next/upcoming (similar to a maintenance note)
4. Enter Date for next/upcoming (similar to a maintenance note)
5. Press “Add”

6. Upload Paper Service Book

Upload a photo of a paper service book.

This ensures that all data from paper service books is available digitally in the future. When the car is sold, the car’s value increases by having the complete service history.

How to do it:

1. Click on the “Photo” tab
2. Click on the “Photo of the service book” button

Make the Paper Version Digital

1. Enter the license plate – or chassis number and press “SEARCH”
2. Verify the car’s data and press Add.
3. Find a photo on your PC or directly from the App/phone. (Feel free to attach multiple)
4. Add
5. The paper service book is now added.

7. Access OE Data

OE data (retrieve service books from manufacturers or search for campaigns)

Access to all factory online service books and searches for factory campaigns, as described in most service schedules.

OE Campaigns

• 1 out of 10 cars is affected by a defect/improvement that the car manufacturer should repair for free for the car owner. At Digital Servicebook, we offer you to handle an “OE campaign.”
• 15 searches are free per month (only with PRO access)

OE – Service Book

• 17 car brands have their own closed online service book. We now offer searches in these “brand” service books, send information to you, and collect data in Digital Servicebook.

Fill in data

1. Choose ‘OE data’
2. Enter registration or chassis number
3. Search Select – OE service book search and/or Campaign search
4. Search for data
5. Here you can see the search has started, and when the data is retrieved, the status will be updated, and you will receive an email.

Answer

1. We will get back with a response if there are one or more open campaigns.
2. Or when the OE service book has been updated.

8. Print Service Information in a Certificate

It is possible to print the entered service information.

Step 1 – Service Plan

1. Select the service plan in the top menu
2. Search for the license plate
3. Choose the line you want to print and press “Show”

Step 2 – Data

1. The data will be displayed and can be printed by pressing “Print.”
2. This page can now be printed on your local printer.
