Why did the OE portals become a problem?
Since 2005, car manufacturers have each launched their own online service portal as a replacement for the paper service book. For the brand workshop, it was a simplification because there was only one portal to keep track of. For the independent workshop, it was the opposite: many portals, each its own login, each its own documentation requirements and accesses that must be maintained.
This is the background for OE Upload. You register the service in the Digital Servicebook as usual, and data can be forwarded to the car brand's portal in the same workflow. You will be notified in the service plan when this has happened.
How much does it cost to type the same thing twice?
It takes 5 to 8 minutes to stamp a car by hand. That doesn't sound like much, but it has to be multiplied. A workshop with five services a day and twenty working days a month reaches 100 registrations, and it becomes between 8 and 13 hours. Every month. That's over a full working day spent on paperwork instead of on billable hours.
In a year, this amounts to between 100 and 160 hours, i.e. two to four working weeks. If the service is then also to be registered in an OE portal, time is added on top for each individual vehicle.
Is it mandatory to use the car brand's own service book?
No. There is no requirement to use the car brand's own system, nor is it a legal requirement to upload to the OE portals. The requirement is that the service is carried out according to the manufacturer's regulations and registered correctly. It is the documentation that determines a warranty case, not which system it is in.
However, some customers ask if the service is also registered with the car brand. Therefore, OE Upload is available as an add-on, so the workshop can say yes without having to enter the portals themselves.
What do you get out of the car's history?
When a car comes in for the first time, previous registrations on the vehicle are available, regardless of which workshop did the work. This makes troubleshooting faster, and it makes the advice more accurate because you can see what has actually been done rather than asking the customer.

- Send the invoice as you always do The workshop sends the invoice to the customer and sets the Digital Servicebook as BCC. There is no need to log in, and no new information needs to be entered.
- We create service data from the invoice The invoice is used to create the registration, and the service lands in the car's history. The workshop does no more than send the email that should be sent anyway.
- On to the car brand, if you wish If the workshop wants the service to also be with the manufacturer, it is updated to the OE portal. Otherwise, it remains in the car's digital service book.

Is it mandatory to upload service data to the car brand's OE portal?
No. It is not a legal requirement. The requirement is that the service is carried out according to the manufacturer's regulations and registered correctly. OE Upload exists because some customers ask if the service is also available from the car brand, and because some brands request it.
What does OE Upload require from my workshop?
OE Upload is an add-on to the Pro and OE Pro packages. A power of attorney must be in place so that Digital Servicebook can upload service data on behalf of the workshop. Then you can choose upload to the OE portal when you register the service as usual.
What if my workshop system is not integrated?
Then you can use Easy Upload. You simply put Digital Servicebook as BCC on the invoice you already send to the customer, and we create the service history from it. Alternatively, you register the service directly in Digital Servicebook in the web app. It still takes significantly less time than punching by hand, and the history will be the same.
Can the customer see the service I have registered?
Yes. The car owner has free access to the car's history and can see what has been done, when and by which workshop. This helps to make your work visible, even when the car later changes hands.
Can I register service without logging in?
Yes, with EasyUpload. The workshop sets up Digital Servicebook as BCC when the invoice is sent to the customer, and service data is created from the invoice. The registration lands in the car's history, and if the workshop wants it, it is also updated to the car brand's OE portal.
